Co-Chair Report
May 3, 2009
For this month, the steering committee met on April 22nd 2009. The purpose of this meeting was to select committee chairs. We did!
Several CD's were submitted to the Program Chair to begin the selection of the speakers. An updated hard copy Program Chair Guide was given to him today. Also, an electronic file for Program Chair 2009 is being completed and will be sent this week via email to him.
Thank you Patrick for asking me to be your Co-Chair. It is an honor and privilege to be of service for this convention. We have a great steering committee and I look forward to working with everyone this year! We are going to have a great convention!

45th Convention Wrap Up
Not many negatives except:
Count down way too long
Too many thank you's
Will try to shorten, but Pat will make final decision
Some workshop Chairs felt workshop scheduled times too close together. JoAnne said that this is because Panel skits ran too long. There should be 15 minutes between workshops. Will try to find a solution.
Coffee pot in lobby and non-convention user. Pat not willing to eliminate coffee in lobby. Perhaps PI will put up a sign.
Starting Marathon meetings on the ½ hour. Julie suggested making meetings 45 minutes instead of 1 hour. Program committee will consider.
Complaints that Marathon meetings don't start till 10pm. Will not consider changing because other meetings are available before 10pm.
Not a lot of merchandise was a complaint. Open to suggestions.
Theme and Logo Discussion
- Last year's theme and logo was good for sales items
- Keep that in mind for new theme
- Avoid putting AA logos on sales items
- Pat asked for suggestions
1) Joey suggested a smiley face and “We are not a glum lot”
2) Wallace: Something along the lines of a “helping hands” so he could use hand clappers as a memento. “The Hand of AA” or “I am Responsible”
3) Karen: “More will be Revealed” - Clouds opening with sun
4) Deborah: “A Firm Bedrock” - Could use Flintstones
5) Dona – Smith and Wilson University - college logo
6) Lindsay – “From Darkness to Light”
7) Julie - “Our common Welfare”
8) “Linked in Unity” – people arm in arm
9) Melissa – “Keep it Simple” - set of lips
10) “The journey Continues” (Pat) with new logo showing different boat
11) “Pathways to a common journey”
12) Kelly – “Join the Tribe” (Big Book story 4th edition)
Elaine reminded that theme should come from conference approved literature.
Pat suggested to narrow down to 6 and we will ask for art work. Pat suggested using a concordance on Internet.
Wilson House, Pool Party, Stepping Stones and Other Events
Pool Party
- Pat asked for volunteers. Kim volunteered.
- Rain or shine @ Kim's on Sunday July 19th.
- Kim will coordinate food and supplies
Wilson House
- Suggested dates 9/11, 9/25, 10/19, 11/7 and 11/21
- Kim asked for availability from WH and is waiting to hear
Considering a get together for January (maybe February) possibly Football party.
XII. Open Discussion – New Business
- Joe C announced sweat shirts from the 45th convention will be available one time basis and can be picked up at June meeting. Taking orders at end of this meeting.
- Frank suggested asking home groups in area 45 to sponsor one person to go to the convention. There are 400 home groups in the area and would mean an additional 400 people at convention.
- Need to consider how to handle a situation where the same person is asking each year for free sponsorship.
- About “why we pay” Stella suggested we put something in the news letter and have another sign at the door.
Pat said everyone should pick an area of interest and get involved
XIII. Thanks to Frank Z. & Joey H. for snacks today – Unity (Kim D.) Snacks in June:

Good afternoon everyone,
It really is only 54 days until the convention. I hope everyone is doing well. If anyone needs anything at all in the coming weeks leading up to the convention, please don’t hesitate to contact me. January was a busy month. The registration flyer went into the winter 2009 issue of the Area 45 newsletter, The Fourth Dimension. If you have not seen it yet, there is a great article written by our chair. The website now has the font to match the logo and looks great that way.
About 23 of us got up to East Dorset, VT to enjoy the crispy cold, snow, Bill Wilson’s birthplace and each other. I want to thank everyone who made the trip up to the -8° weather just for being there because I had a really nice time. I truly hope that next year everyone is in a position to go. It is a great experience & I like the company.
The letters to the Area committee chairs have been mailed for their tables in the promenade and I even got an early response from one of the chairs. I know that the Archives exhibit is going to look awesome this year. Thanks Stella. Although we did have the banquet tasting scheduled for this past week, it was rescheduled for later in Feb., so we’ll report next month on that. I was given an opportunity to put my two cents in on the program. Thanks Joanne & Sally.
The mementos, mugs and travel mugs arrived. I am very pleased with them. I’m going to pass around samples of each for you to have a look. Thanks for allowing me to do this.
God bless,
Pat M.

Hi!
Registration is moving along. I have ordered and received registration package envelopes. I received samples of the meal tickets and Stuart is just waiting to find out where the meals will be held before printing.
At my committee's suggestion and Joe's approval, it was decided that CD and Merchandise would handle all the pre-ordered t-shirts. The registration packet will have a "T" on the label if there is a pre-ordered T-shirt. The person will take his packet to Deborah, or whoever is manning the table, show her his packet and she will give him his shirt. She will then highlight that person's name on the packet so they will be unable to try and get t-shirts twice. This will also force some people to the merchandise table where they may have not done so otherwise.
I have the registration workshop ready, but it was decided because of the Super Bowl that we would postpone it. :)
Again, thank you to my committee for all their continued hardwork.
Yours in Service,
Debby S.

Hello committee members,
We are doing a skit this Sunday. Unfortunately several members in my group booked other arrangements that day even though this has been well documented before that they had to be here and in march. They are going to a surprise bd party that was booked after this. I talked it over with my sponsor and I have taken her advice. this is a must meeting and again they were in the skit and now they will not be there .this saddens me deeply and I am having alot of stress with my jobs. So for the very few who are coming we will have the skit ready for Sunday. please call me with any questions and concerns.
I will be home in the afternoon tomorrow if Joe or Kelly can give me a call I would appreciate it. I am very discouraged with the lack of commitment some of my members have displayed over this year. I would like some guidance.
I am at work now until 12mn. you can call after 8:30p or tomorrow at my house or cell . thanks for all your support and guidance.

Hi!
Last month we had the envelope stuffing at my house. Thank you to all those who showed up and helped.
Last Wednesday Frank Z. and my always ready co-chair Joe C. came over and picked up the envelopes and they were mailed on Thursday.
I ordered the "special order" ribbons and I am waiting for the last of them to come in.
We had 3 registrants this month!!
I think that's everything!

Since our meeting last month I did get the samples of the cups, mugs and pens. I will pass them around for everyone to have a look.
Also here is a little sample of what our 45th logo might look like on a t-shirt.
And thanks Joe C. It looks like we’ve gotten some great prices on the t-shirts as well. And I want to be sure to thank everyone for their hard work. As the convention nears, a lot goes on behind the scenes that take up time and effort. So thanks.
Everyone be sure to contact me with anything at all; I’m standing by to help in any way that you may need. My information is on the contact sheet.

Co-chair’s report, Sept 14th 2008I’m very happy to be here with all of you as we gear up now as the convention is only a little over six months away.
I know that Registration and Program have been working very hard this past month and a half, as well as many other committees. Thank you all for your hard work.
Several of us met at Joe’s home for topic selection. So, thanks Joe for your hospitality and thank you Elaine for the delicious meatballs.
As many of you know we selected a terrific logo at our last meeting. Thanks to Mary Ann and to all who submitted their ideas.
I have printed out a few pictures just so that the committee can have an idea of what an inexpensive memento and some of the mugs might look like. The convention logo is on only one of the travel mugs so you all might get an idea what they will look like when completed.
And as always, please remember to use me. If anyone has any needs at all, please get in touch with me. My email and phone number is on the contact sheet.

45th Convention Chair Report August 3, 2008
Good Afternoon ;
I’m a Alcoholic, my name is Joe, Area 45’s, 45th Convention Chair.
On July 25th – 27th I was lucky enough to be able to attend the Missouri State Convention in Jefferson City, Mo. Besides seeing some old friends and making some new ones, I was able to watch another convention committee at work, and took away 1 or 2 ideas.
The registration flyer has been worked on and is waiting for our 45th Convention Logo. It appears that we will need to add a separate sheet for the tee shirts or figure how to squeeze the order form into the registration form.
Our Treasurer, Frank Z. and I met with the Budget and Finance committee to work our a few details and now have an approved budget to work with. While our budget is now a working budget we still must look at the rising costs on everything from travel to food and all the little items that add up to save where ever we can. I am confident that working together we can accomplish even more savings.
The Program and Marathon chairs along with Our Co-Chair will be meeting at my house on Wed. August 6th, to discuss Marathon topics for our Convention. We will be able to hand out the Marathon Meeting cards at the next assembly.
Our next Area 45 Assembly will be hosted by Section 1, on August 10th in Bordentown. Please get direction off the Area Calendar. I know that I keep telling you that the money that the Convention makes goes to support the other committees to do 12th Step work throughout Area 45. Here is a way for you to find out how and where those committees spend the money that comes in part from this Convention, that all of you work so very hard on all year. Attend the Assembly! Listen and ask questions if you are confused about anything.
Section 1 will also be hosting the inventory this year in Bordentown, on September 7th, another Area event that is very informative.
Because of the Area Inventory we will be holding our Convention meeting on the 14th of September.
I know that September 14th, is also the Unity Breakfast in Cape Atlantic and that is important to a lot of us. Please remember that our convention is moving forward and that we need as many people here as possible to keep the momentum going forward. I know that is a lot of driving in one day, having done it myself, so it is possible to do and enjoy both.
I want to thank those of you who sent your reports in to Kelly and myself before today’s meeting. It is a great help when everyone works together.
Please call Pat or myself if you need help with anything.
We can make this Convention Great only by working together.
Thank You for letting me serve you as your 45th Convention Chair.

Convention Co-chair’s report:
Hi everyone,
Happy August.
Not a whole lot to report this month. Thanks to Debbie and Joe, I had an opportunity to look at a preliminary version of the registration flyer and I believe that’s coming along well.
I had a chance to speak with our program chair and I know things are going right along with the program.
And again, please be certain to contact me if you need any assistance or just want to involve me in something. My information is on the contact sheet.
This month, after the logo has been selected, I will be getting confirmation of the types of things that we will make available at the convention. Like mementos and mugs for sale.
I’m looking forward to seeing everyone at the pool party. I hope I see everyone there.
God bless,
Pat

45th Convention Chair Report August 3, 2008
Good Afternoon ;

God bless,
Pat

45th Convention Chair Report July 13, 2008
Good Afternoon ;
I’m a Alcoholic, my name is Joe, Area 45’s, 45th Convention Chair.
It’s great to see all of you here. Thanks for taking time on a summer day to be with us. Today is an important meeting as we will be considering artwork to support our theme that was selected last month, “THE JOURNEY BEGINS”. Our convention logo will come from this.
Just as our recovery is a journey for each of us as individuals ,so the process of putting together a convention is a journey for this committee; one that I am proud to be sharing with all of you.
Pat Mck. And I met with Mr. Will King of the Crown Plaza Hotel and talked Contract pricing for the rooms and the move back to the crystal ball rooms for the Red Ball meeting on Friday evening.
Dinner on Friday night will be served in the Terrace Room. As previously stated, this will save $10.00 per person. Buffets cost more because there are normally three entrees, and the price is based on the highest priced entrée.
We also talked to Mr. King about the BEO’s and received this years copy for us to browse over.
I met with our Pat, Co-chair and Frank Z. our Treasurer to finish the budget. This budget has been submitted to Steve G. the Budget and Finance Chair for the Area, for approval. We wait with baited breath.
We are looking into other ways to increase the Convention’s income.
We have an idea or two; one will be a better monitoring of the Friday and Saturday nite dances.
Putting signs up at the refreshment stands in the hotel lobby and on the Marathon meeting floor.
Many people come into the Hotel and use this service provided for the Conventions clients. While they feel that they are doing nothing wrong it is costing the Convention in a number of ways. One is that we are paying for all that coffee, and tea.
Two, the hotel takes an average of the people in the hotel for the weekend, which is how we are charged. So these free loaders increase our daily average count. This goes for the people that just walk into the hotel and walk up to the Marathon Meetings, saying that “I’m just here for a meeting.” That’s great only don’t do it on the Conventions dime.
Everything that gets taken away from the Convention means less that Area 45 has to work with. While we want everyone to enjoy themselves, our primary purpose here is to raise money for the Area.
I have started work on the Registration Flyer and the Program Flyer.
I can be reached by phone at home or on my cell (), or by email
Please get in contact with me if you need anything or if you want to talk about anything at all. If it seems important to you, it probably is. So please, call and share your thoughts with us.
Remember that the only bad question is the one that isn’t asked.
Also, the only people that don’t make mistakes are the people that don’t do anything.
I will be out of town starting Saturday the 19th until the 30th. You can still call me or use Pat McK.
Our next convention meeting is August 3rd.
Thank You for letting me serve you as your 45th Convention Chair.

Here is my report:
Hello every one,
Thank you all for coming out on this glorious July day; and thank you all for your service to this convention. I’m really looking forward to continued work with everyone this year.
June and the first half of July were not quite as busy as May had been nor as busy as it is soon going to be. Last month as you heard, The Chair, Treasurer and I met again as a finance committee to finish up the 45th budget. That went well and the 45th Convention budget has been submitted to the Area Budget and Finance Committee for final approval.
Hopefully today we will have some great logo ideas to vote on. After the logo is chosen, I will start getting proposals from vendors for mugs and mementos. . We have a good shot at getting some excellent quality mugs and mementos at a very reasonable nice price.
Some of the chairs have contacted me this past month. Joanne just copied me on an email to include me in the meeting to choose topics. Thanks Joanne.
Once again, please don’t hesitate to contact me if there is any way at all that I can help out. My phone number and email are on the contact list.

45th Convention Chair Report June 1, 2008
Good Afternoon ;
I’m a Alcoholic, my name is Joe, Area 45’s, 45th Convention Chair.
We were lucky in catching an error in the new computer generated bill from Word Cassettes and received those
monies back. This of course was credited to the 44th Convention.
On May 18th I attended the Area 45 Assembly in Williamstown at the Pffiefer Center.
I met with Mr. Will King of the Crown Plaza Hotel and talked about food prices and rooms.
In one case we will try a served Dinner on Friday night. This is will save $10.00 per person. Buffets cost more
because there is normally three entrees, and the price is based on the highest priced entrée.
I will be talking to Mr. King again about having items like oatmeal served at breakfast and salads served during lunch.
I met with our Co-chair and treasurer twice to work on the budget. While we had hoped to put this issue to
bed early this year, it does not appear to be the case.
With rising costs on everything from travel to food it is going to be a little more complicated to reach a balanced budget this year, but I am confident we will accomplish that..
Hotel costs for food are 10% and above what they were last year. Rooms are up 4% which also increases the 8% occupancy tax.
We need to keep in mind that we are being charged $22.50 per person for the refreshment stations and that we
have to pay $31,000.00 dollars between food and the refreshments.
The two biggest income producers are,
1. To bring as many people as we can into our convention. (our Registration Fee)
2. A huge Saturday night Banquet is what we need to push us over that $31,000.00 dollar hurdle. Sounds easy, try setting up the Banquet on a $650.00 dollar expense account, while thinking about the plate per-person cost.
We will keep working on the budget until we can hand in the most cost effective one.
I know that a lot of the committee chairs have found co-chairs and I will let them tell you about that. I want to thank those of you who sent your reports in to Kelly and myself before todays meeting. I want to remind the rest of you that it is imperative that you get your reports in to us by the Friday before each meeting.
I am required to report to the Area Chair before this meeting; I cannot do that unless I have your reports.
Fred E. our Delegate has a Friday night speaker and I won’t spoil his surprise.
Lastly I want to let everyone know that I’m here to help in any way that I can. At any time; you can call Pat or myself. Everyone is new to their jobs this year, and you aren’t expected to know everything. .
We all need to work together to pull this together.
I can be reached by phone at home or on my cell My email is easy it’s

I will be out of town starting Tuesday the 3rd until the 10th or so. Our next convention meeting is July 13th.
Thank You for letting me serve you as your 45th Convention Chair.

ii.Co Chair's report Pat M-Thanks Joe Mc for appointing him co-chair of convention.
Hello every one,
Thank you all for coming out today and thank you all for your service to this convention. I’m really looking forward to working with everyone this year.
May was a busy month. Last month I attended the May assembly in Williamstown. The Chair, Treasurer and I met on two Tuesday nights to work out the 45th budget. That went well. I’m certain you will hear a lot of those findings in the further reports.
I had an opportunity to do some preliminary research into the mementos as well as on the mugs and travel mugs. I’m very happy with what we’ve found. We have been able to reduce the cost of the memento this year and the best selection is a logo pen that comes in at around 22¢ to 23¢ each. We have a good shot at getting some excellent quality mugs at a nice price too. Obviously we’ll know more after the theme and logo have been chosen.
Our program chair has been in contact with me several times and I know has some exciting news of her own to share with you.
I do want every chair to know that I am at your disposal for any assistance that you may need, not only now, but throughout the entire year and with anything. So please don’t hesitate to contact me if there is any way at all that I can help out. My phone number and email are on the contact list.
Thanks & God bless,
Pat

iv.Treasurer report Frank Z-
I received the check for $1594 from the taper due to an overcharging error, therefore Alice will be returning $1774.00 to the Area and that tha convention will ultimately be starting with the $5000 that is the seed money from 44th. Alice paid the church for May and I will be paying the church for the rest of the year and also if anyone has any outstanding receipts from the 44th Convention they have to turn them into me by June meeting and there is some money currently available if committees need some supplies or whatever..I received the check book and all cash boxes from Joe @ BBQ.Our balance in the checking acct is $5000 it looks like all checks are in. My plans as your treasurer this year is to get the credit card program up and running so people can use their debit card or credit card at the registration table.May 13th Pat Joe and myself met at Joe's house to start the budget, then we met again at Pats house on the 28th to finalize it.In closing I would like to thank Alice for her service as our past convention chair and thanks for letting me serve as your 45th convention treasurer.
