Reading of Highlights from Minutes of July 5th Meeting (Secretary)

VI. The 46th Annual Area 45 General Services Convention
a. Contact Information
b. Convention Meeting Dates

VII. Unity (Kim D.) - Anniversaries

VIII. Reports

a. Chair (Pat)

Convention Committee Chair’s report Aug 2nd 2009

Did any else have a really great time at the pool party? Thank you again Kim and please say thanks again to Tony. It was a beautiful day, thank God. And thank you all for coming and for bringing great food. And if you missed it, that’s OK; there’s lots more like the Wilson House trip. I hope we pack that house to overflowing.
Also this month we got an early registration flyer into the Fourth Dimension and we have a draft for a two page flyer that will be printed as soon as we finalize the logo. I also know that the Website committee is working on the on-line registration and we have our secure certificate for the site; so that should be live very soon too. This past week, there was some communication and buzz about the taper and audio/visual for the convention. That issue will be brought up later. I had an opportunity to talk with a few of you and, as the convention nears, you will be hearing from me even more frequently.
Does anyone know how many days it is until the 46th Convention? Now I know who reads to the very bottom of the email I send out. It’s 236 days, which is about 8 months; watch to see how fast that goes by.
Committee chairs please be sure that your reports are sent to the secretary and myself. It’s important to keep the committee informed. So if any Chair is unable to attend this or any meeting it is important that you have someone give your report or send a “no report” report to Maryann and I. And I want to thank everyone who emailed your reports. Thank you so much for that.
Next week is the Area 45 Summer Assembly. I have to work that day, so our Co-chair , Joanne has been kind enough to agree to go up and give our report.
I think that you all have your budgets now. Is that right? I just want to remind all committee chairs that the budget is very tight; therefore it’s real important that we all stay within our budgets. If there are areas where money can be saved, by all means let’s save it. We will really have to be vigilant about expenditures – not cheap, just attentive.
I will be meeting with the Crowne Plaza Hotel this month. It will likely be my last meeting with them until we are much closer to the convention, so if anyone has anything they need me to inquire about, please let me know.
I’m going to give my phone number out again: 609-892-8461. Everyone, any time you have a question or suggestion or want to make me aware of something, please don’t hesitate to call. I also usually respond quickly to text messages to the same number and to email at chair@snjaaconvention.org.
That’s my report.
Thank you and God bless you,
Pat

b. Co-Chair (Joanne)

The Committee performed an Internet search for novelty items for the 2009 convention. The search yielded two different web based companies for clapping hands. Rinovelty and Century Novelty. Century Novelty proved to be the best choice based on price comparison. Rinovelty was offering clapping hands for $3.50 per dozen whereas, Century Novelty is $0.50 a piece for 12-35 hands or $0.30 for 288 plus.
Samples from Century Novelty have been ordered. They will be available for the next meeting in September.
Respectfully Submitted
JoAnne C

c. Treasurer (Deb)

I first want to thank Kim for hosting the great pool party. Everyone had a blast. Thanks!
I went to Wallace's house along with Katie C. for registration inventory.
I opened a PO Box in Sicklerville for registrations. We are paid for a year.
I met with Janet Whitaker from Heartland which is our credit card merchant and signed a one year contract.
On 6/05, we had a balance of $4,707.89. I wrote a check to Frank and to Kim for supplies totaling $84.45. We had $24.14 in fees and interest of $1.03, bringing our balance to $4,599.38.
Yours In Service,
Debby S.

d. Program (Frank)

We had a busy month, first order of business was to finalize our speakers which we did. Our committee met at my house on the 24th to pick the 2 speakers. The male speaker is Adam T from California and the female speaker is Linda P from Lack Balboa California. Linda P confirmed already and still waiting on Adam T. I spoke with my co-chair and she and Deborah picked the topics for the marathon meeting. I also have a chair for the old timers meeting – Larry G with 26 years. I started cleaning up the program from last year using it as a template for this year. Trying to improve the flow and allow time for coffee breaks, etc. between presentations.
As your program chair we are on schedule so far.
Thanks
Frank Z.

e. Registration (Wallace)

The only thing to report is that we did our inventory and know what we need to order.

f. Hospitality (Kelly)

No Report

g. Any Others

Alanon (Keith):
 Jane has been selected as Co-chair. She asked whether Alanon will have the same number of rooms as last year. Asked if they could have a room all day Saturday to use as a hospitality room.
 Frank suggested Alanon is welcome to use our hospitality suite for committee members, etc.

Banquet (Anne):
 No Report

Data Entry (Lindsay):
 No Report

Entertainment (Marianne):
 I did get in touch with the DJ and entertainment company we had last year. I will know more tomorrow after I compare prices as we have previously discussed at the pool party. If its cheaper to have the DJ and karaoke both nights versus DJ Saturday night with karaoke both nights and Soulfire recovery band Friday night. We have decided to go with what ever is cost effective. I will know more by Friday 7/31/09. I will then need a check to secure the entertainment once its official. I will let Frank know what I need for a deposit. etc.
 I will need a check for the deposit of $150.00 for Time Productions Entertainment as soon as I get the official agreement I will sign it and send the money. We decided to go with the DJ Saturday night, Soulfire Friday night (the band), karaoke both nights for a total of $1,600.
 I just sent the dated check to Time Productions. Chuck from Soulfire agreed to do Friday night so the entertainment is booked for March 2010 convention. I made copies and can send the copies of the contract to deb.
 I will not be able to attend the September meeting.

Marathon (Donna / Deborah [Co-chair]):
 Donna is new Chair. Deborah stepped down and will be Co-chair.

Public Information (Colleen):

 Regrettably, I will not be at the meeting this Sunday, as I am attending another AA function, so my Co-Chair will be submitting my report. We have received the fliers used for last year's convention from the past Public Information Chair. We have also looked into the submission dates for Box 459, the Grapevine, and the 4th Dimension and will be submitting those shortly. As our past PI Chair lives in Delaware, we will need to schedule a pick-up date for the other materials he has within the next few months.
Respectfully Submitted,
Colleen T. & Darin D.

Setup (Paul):
 No Report

Sales (Joe C):

 I will try this month and talk to the vendor about product and some pricing.
Thank You for all your service.
Joe C

Audio/Visual (Tim K):
 No Report

Website:
 No Report

IX. Old Business

a) Select Logo

 Before vote – Kelly said Hospitality wanted to put up scrolls of paper and paint so each person at convention can use this to place their hand print and name on the scrolls. The scrolls will be posted in the main ballroom during Saturday's main event. Everyone liked the idea.

 Only two choices – from #1 Wallace (globe with 3 hand prints) and #2 Patrick (2 hands reaching)
Vote #1 16
#2 22

 Patrick said we are using one of these two logos because we must move forward with program, etc. If another idea for a merchandise logo that features two reaching hands is presented it could be considered since we have more time to come up with logo for merchandise.

b) Wilson House is scheduled for January 15th through 17th; reservations are first come, first serve.

XI. Open Discussion – New Business

a) Taper Question

 Question to committee:
 Is the opinion of the committee that we should be open to using another taper?
 5 minutes of discussion preceded vote.
 Committee votes unanimously to entertain the possibility of using a different taper.

b) September committee meeting moved to September 13th.

c) February meeting is moved to 12:00 noon due to the Super Bowl.

d) This year we might distribute the mementos on the Chairs on Saturday night instead of putting them in the packets.

XII. Thanks to Jen T. & Fred D. for snacks today – Unity (Kim D.)

Snacks next month – Debbie and Sharon

XIII. It was a great time.
I want to once again say thanks so much to our hosts Kim & Tony for opening up their home and pool to us and to Tony for his great work at the grill. Kim, who is our Unity Chair, was heard to say: “We really didn’t do anything.” We all know different. Thank you.
And thanks so much to everyone who brought out food and drink. The food was terrific from Matt’s kabobs to Melissa’s pasta salad and everything in between. I don’t even know who brought everything; Kim oversaw that impeccably. But everything was delicious, including the 17 or 18 (possible exaggeration) different kinds of pie. Mark’s keg of birch beer was a real treat. We don’t often see our crowd standing around a keg. I was told that our Setup & Security Chair came on Friday to bring chairs and an umbrella even though he was unable to attend due to a prior fellowship commitment. Thank you all for all you did.
It was quite a beautiful day and we can thank the One who presides over us all for that, but you amazing people made it quite a day for me and my family. It was so wonderful to have Melissa & Traz & Andy & Alexa & Dean & Madelyn & Eva & Page (hope I got the names right).
It was a spectacular time and everyone who came made it so.
For any committee member who was unable to attend, there’s lots more to come. We still have a winter party that is new this year and our Wilson House trip which is slated for January 15th through the 17th. I sure do hope everyone can come to East Dorset, VT. And we have lots of other possible get-togethers until the convention, a registration stuffing party or two, a possible trip to Stepping Stones for a day if we can work that out, and our write through on Sunday, March 21st, and probably more, not to mention all our regular committee meetings.
You are an awesome committee and I am blessed beyond my words to describe it to be a part of this group!
Thank you all so very much and God bless you,
Pat

July Convention Committee Meeting Minutes

46th Annual Area 45 General Service Convention Committee Meeting

I. Reports

a. Chair (Pat)

Convention Committee Chair’s report June 7th 2009
Let me once again thank you all for being here at this meeting and for all that you do in between the meetings.
I had an opportunity to communicate with the Crowne Plaza in order to get some digital copies of some things like last year’s BEO which is the outline for the whole weekend and the hotel contract. I expect that I will meet with Will & Romina once within the next few months just to make certain that we are on the same page. If anyone has any questions, concerns or ideas regarding the hotel, please be sure to bring them to my attention.
On Friday May 15th Joanne, Debby and myself met for a long night of number crunching with Steve, Heather Anne and Joey to iron the convention budget. Thanks so much to the Area 45 Budget & Finance Committee for coming to Absecon and getting together with us. That did work out well and on Sunday, May 17th we were able to report to the assembly that the 46th convention committee budget has been approved. Thank you all.
Some of you may know that I’m a little fastidious? Well, I have just a few little details I want to get just so – like postal costs and such before I give everyone their individual budgets, but I expect that by our next meeting Debby and I will have all of the details ready for committee chairs and have their specific budgets to put into their binders.
Make no mistake, the budget is tight. So the message that I want to get across to everyone is please, know your budget and stay within your budget. In order to keep this thing in the black, we will really have to be vigilant about expenditures – not cheap, just attentive.
I’m going to give my phone number out now: 609-892-8461. Everyone, any time you have a question or suggestion or want to make me aware of something, please don’t hesitate to call. I also usually respond quickly to text messages to the same number and to email at chair@snjaaconvention.org.
Lastly I want to thank everyone who emailed your reports to me and to Maryann. That really does help to keep me informed as to how you’re doing – so thanks and keep doing that.

Thank you and God bless you,
Pat

b. Co-Chair (Joanne)

Nothing to report

c. Treasurer (Deb)

Last month I attended the "marathon" Budget meeting at Patrick's home with along with Heather Anne, Joey and Steve from Area 45. We were able to get the Budget done in one evening! I also given the Convention checkbook that had a balance of $6,384.89. I went to the Area 45's Assembly and gave a check to Joe McA for Chuck M. for last year's Audio and Visual for $109.89 and to the Area for $1544.09. We have incurred $24.34 in various fees and 1.23 in interest, giving us a balance of $4707.89. I met with Wallace and gave him all the registration supplies and the updated database. I will be meeting with him and Katie C. to go over the inventory soon. Please, you must supply me with store receipts and fill out Convention receipt forms before I can reimburse you for any monies you have spent.

Yours in service,
Debby S. Convention Treasurer

d. Program (Frank)
 CoChair is Julie W. She's reviewing female speakers and Frank is handeling male speakers. Meet end of June and select speakers. Female will be Saturday and Male Sunday. Tapes are out now and on schedule.

e. Registration (Wallace)

All registration materials were transferred from the past chair. A date will be selected for the new chair, the new co-chair, and past chair to get together and inventory the materials. During that session, the past chair will share the wealth of her experience.

A sign up sheet was passed around for volunteers to staff the registration table. Based on last years numbers, 6 to 8 volunteers will be needed for the busier of the 2 hour shifts. Four to 6 volunteers will be needed for the less busy times. I hope everyone is doing well. If anyone needs anything at all in the coming weeks leading up to the convention, please don’t hesitate to contact me. January was a busy month. The registration flyer went into the winter 2009 issue of the Area 45 newsletter, The Fourth Dimension. If you have not seen it yet, there is a great article written by our chair. The website now has the font to match the logo and looks great that way.
About 23 of us got up to East Dorset, VT to enjoy the crispy cold, snow, Bill Wilson’s birthplace and each other. I want to thank everyone who made the trip up to the -8° weather just for being there because I had a really nice time. I truly hope that next year everyone is in a position to go. It is a great experience & I like the company.
The letters to the Area committee chairs have been mailed for their tables in the promenade and I even got an early response from one of the chairs. I know that the Archives exhibit is going to look awesome this year. Thanks Stella. Although we did have the banquet tasting scheduled for this past week, it was rescheduled for later in Feb., so we’ll report next month on that. I was given an opportunity to put my two cents in on the program. Thanks Joanne & Sally.
The mementos, mugs and travel mugs arrived. I am very pleased with them. I’m going to pass around samples of each for you to have a look. Thanks for allowing me to do this.
God bless,
Pat M.
Joanne-Program chair
The chair and co chair have met several times this month We are working on finalizing the paper program Currently it is being proofread and then it may go to print.
All keynote speakers have been contacted and travel arrangements are being made for each speaker The registration info for their badges room arrangements banquet requests etc have been obtained and confirmed. It has been submitted to registration chair. All workshop chairs have been contacted and all are preparing their workshops It is going to be a great weekend and lots of great workshops.
Baskets for speakers will be done by Maryanne the week prior to the convention Thank you
The program committee is on target with their responsibilities.
Yours in love and service
Joanne program chair
Treasurer report Frank Joe C filling in
Debits-$3255.00
Balance $8273.19
If anyone needs receipts to be reimbursed see Joe
Registration chair Debby
Hi!
Registration is moving along. I have ordered and received registration package envelopes. I received samples of the meal tickets and Stuart is just waiting to find out where the meals will be held before printing.
At my committee's suggestion and Joe's approval, it was decided that CD and Merchandise would handle all the pre-ordered t-shirts. The registration packet will have a "T" on the label if there is a pre-ordered T-shirt. The person will take his packet to Deborah, or whoever is manning the table, show her his packet and she will give him his shirt. She will then highlight that person's name on the packet so they will be unable to try and get t-shirts twice. This will also force some people to the merchandise table where they may have not done so otherwise.
I have the registration workshop ready, but it was decided because of the Super Bowl that we would postpone it. :)
Again, thank you to my committee for all their continued hardwork.
Yours in Service,
Debby S.
Registration Chair
Hospitality chair Marianne
Hello committee members,
We are doing a skit this Sunday. Unfortunately several members in my group booked other arrangements that day even though this has been well documented before that they had to be here and in march. They are going to a surprise bd party that was booked after this. I talked it over with my sponsor and I have taken her advice. this is a must meeting and again they were in the skit and now they will not be there .this saddens me deeply and I am having alot of stress with my jobs. So for the very few who are coming we will have the skit ready for Sunday. please call me with any questions and concerns.
I will be home in the afternoon tomorrow if Joe or Kelly can give me a call I would appreciate it. I am very discouraged with the lack of commitment some of my members have displayed over this year. I would like some guidance.
I am at work now until 12mn. you can call after 8:30p or tomorrow at my house or cell . thanks for all your support and guidance.
Marianne Hough
Secretary report-no report
Alanon-Helen
Skit is “recovery Island”
Banquet Report- Julie W-no report emailed
Data entry Colleen
Things going well still looking for volunteers
Entertainment Maryanne
Looking into lighting issues and pricing
Marathon meetings Christina
All slots filled all is well
Public Info Stewart
No report
Set up security Wallace
No report
Table manager Tam
All is well
Still need volunteers
Sales Deborah
Still looking for volunteers
Unity Karen
Announce group anniversaries and events going on in area
Anniversary congrats!
Joe M 20 years
Pat M 13 yrs
Kelly M 3 yrs
Maryanne L 10 yrs
Karen G 3yrs
Joe C 1 year
Jeanne R 1 yr
Lindsey F 1year
Elaine M 29 yrs
Ray F 2yrs
Sally F 21 yrs
Toya E 16 yrs
Yours in service
Karen G
Audio Chuck
Had a subcommittee meeting w/his
Co chair 3 volunteer members and himself to
Iron out the logistics
Intergroup- skit is coming together
New Business
Joe C will get pricing on sweatshirts
Staying on thurs night let Hotel know
Friday night dinner lunches
Make sure room mates register
Laura wants to volunteer
Tradition 11 Colleen
Tradition 12 Deborah
Snacks Maryanne ,Marianne, Sharon and Robbie
Closed responsibility pledge
Respectfully submitted in love and service
Kelly H Secretary area 45 45th convention

Convention Committee Minutes for January

Area 45 January Convention Committee Meeting Minutes

If anyone has any needs at all, please get in touch with me. Besides seeing some old friends and making some new ones, I was able to watch another convention committee at work, and took away 1 or 2 ideas.

The registration flyer has been worked on and is waiting for our 45th Convention Logo. It appears that we will need to add a separate sheet for the tee shirts or figure how to squeeze the order form into the registration form.

Our Treasurer, Frank Z. and I met with the Budget and Finance committee to work our a few details and now have an approved budget to work with. While our budget is now a working budget we still must look at the rising costs on everything from travel to food and all the little items that add up to save where ever we can. I am confident that working together we can accomplish even more savings.

The Program and Marathon chairs along with Our Co-Chair will be meeting at my house on Wed. August 6th, to discuss Marathon topics for our Convention. We will be able to hand out the Marathon Meeting cards at the next assembly.

Our next Area 45 Assembly will be hosted by Section 1, on August 10th in Bordentown. Please get direction off the Area Calendar. I know that I keep telling you that the money that the Convention makes goes to support the other committees to do 12th Step work throughout Area 45. Here is a way for you to find out how and where those committees spend the money that comes in part from this Convention, that all of you work so very hard on all year. Attend the Assembly! Listen and ask questions if you are confused about anything.

Section 1 will also be hosting the inventory this year in Bordentown, on September 7th, another Area event that is very informative.
Because of the Area Inventory we will be holding our Convention meeting on the 14th of September.

I know that September 14th, is also the Unity Breakfast in Cape Atlantic and that is important to a lot of us. Please remember that our convention is moving forward and that we need as many people here as possible to keep the momentum going forward. I know that is a lot of driving in one day, having done it myself, so it is possible to do and enjoy both.

I want to thank those of you who sent your reports in to Kelly and myself before today’s meeting. It is a great help when everyone works together.

Please call Pat or myself if you need help with anything.

We can make this Convention Great only by working together.

Thank You for letting me serve you as your 45th Convention Chair.

Joseph McAndrews

Committee Chair, 45th Annual

Southern New Jersey Area 45

General Service Convention

ii. co chair report Pat Mc

Convention Co-chair’s report:

Hi everyone,

Happy August.

Not a whole lot to report this month. Thanks to Debbie and Joe, I had an opportunity to look at a preliminary version of the registration flyer and I believe that’s coming along well.

I had a chance to speak with our program chair and I know things are going right along with the program.

And again, please be certain to contact me if you need any assistance or just want to involve me in something. My information is on the contact sheet.

This month, after the logo has been selected, I will be getting confirmation of the types of things that we will make available at the convention. Like mementos and mugs for sale.

I’m looking forward to seeing everyone at the pool party. I hope I see everyone there.

God bless,

Pat

–

Patrick McKnight

Committee Co-chair, 45th Annual

Southern New Jersey Area 45

General Service Convention

read .
iii.Program chair Joanne

All panel chairs have been selected and confirmed. The chairs have been asked to have all panel title with outline to Program chair by Aug 25 2008.Working on finalizing paper program, still need readers for Saturday and Sunday Sunrise Spritiual meetings
A sign up sheet will be circulated at Aug 2nd meeting. Thanks for taking time on a summer day to be with us. Today is an important meeting as we will be considering artwork to support our theme that was selected last month, “THE JOURNEY BEGINS”. Our convention logo will come from this.

Just as our recovery is a journey for each of us as individuals ,so the process of putting together a convention is a journey for this committee; one that I am proud to be sharing with all of you.

Pat Mck. And I met with Mr. Will King of the Crown Plaza Hotel and talked Contract pricing for the rooms and the move back to the crystal ball rooms for the Red Ball meeting on Friday evening.
Dinner on Friday night will be served in the Terrace Room. As previously stated, this will save $10.00 per person. Buffets cost more because there are normally three entrees, and the price is based on the highest priced entrée.
We also talked to Mr. King about the BEO’s and received this years copy for us to browse over.

I met with our Pat, Co-chair and Frank Z. our Treasurer to finish the budget. This budget has been submitted to Steve G. the Budget and Finance Chair for the Area, for approval. We wait with baited breath.

We are looking into other ways to increase the Convention’s income.
We have an idea or two; one will be a better monitoring of the Friday and Saturday nite dances.

Putting signs up at the refreshment stands in the hotel lobby and on the Marathon meeting floor.
Many people come into the Hotel and use this service provided for the Conventions clients. While they feel that they are doing nothing wrong it is costing the Convention in a number of ways. One is that we are paying for all that coffee, and tea.

Two, the hotel takes an average of the people in the hotel for the weekend, which is how we are charged. So these free loaders increase our daily average count. This goes for the people that just walk into the hotel and walk up to the Marathon Meetings, saying that “I’m just here for a meeting.” That’s great only don’t do it on the Conventions dime.
Everything that gets taken away from the Convention means less that Area 45 has to work with. While we want everyone to enjoy themselves, our primary purpose here is to raise money for the Area.

I have started work on the Registration Flyer and the Program Flyer.

I can be reached by phone at home or on my cell (), or by email
Please get in contact with me if you need anything or if you want to talk about anything at all. If it seems important to you, it probably is. So please, call and share your thoughts with us.

Remember that the only bad question is the one that isn’t asked.
Also, the only people that don’t make mistakes are the people that don’t do anything.

I will be out of town starting Saturday the 19th until the 30th. You can still call me or use Pat McK.

Our next convention meeting is August 3rd.

Thank You for letting me serve you as your 45th Convention Chair.
Till We Meet Again
Yours in Service
Joe

Joseph Mc Committee Chair, 45th Annual
Southern New Jersey Area 45
General Service Convention

Co Chair -Patrick M

Here is my report:

Hello every one,
Thank you all for coming out on this glorious July day; and thank you all for your service to this convention. I’m really looking forward to continued work with everyone this year.
June and the first half of July were not quite as busy as May had been nor as busy as it is soon going to be. Last month as you heard, The Chair, Treasurer and I met again as a finance committee to finish up the 45th budget. That went well and the 45th Convention budget has been submitted to the Area Budget and Finance Committee for final approval.

Hopefully today we will have some great logo ideas to vote on. After the logo is chosen, I will start getting proposals from vendors for mugs and mementos. . We have a good shot at getting some excellent quality mugs and mementos at a very reasonable nice price.
Some of the chairs have contacted me this past month. Joanne just copied me on an email to include me in the meeting to choose topics. Thanks Joanne.

Once again, please don’t hesitate to contact me if there is any way at all that I can help out. My phone number and email are on the contact list.
Thanks & God bless,

during reports Julie W has questions about the persentage of what we are losing for people who do not pay for admission

Joe M answers about $1400 in estimation

Stella J wants Beo explained -Co chair Patrick explains\

Debby S Font -registration chair gives out new email

Program chair report Joanne C-met with our program cochair-Sally F on Wednesday July 9th we accomplished alot

1) sent out confirmation letters to all of our speakers

We have our host and hostess for Saturday and Sunday speakers

Chris and Laurie C and Fred E will host Andy T from GSO

2) Have to arrange a meeting with Christina and her committee to pick topics for marathon meetings we can come to you

3)we need trinkets for the speaker gift baskets 3 of any item

God bless all

Love and Service

Joanne C

Registration report-Debby S Font

Hi!

I have received the Area 44th Convention Data Base and am currently going through it to fill in any missing information....zip codes, ect.

Also, I will be using my business email address for all future Convention business.

Thanks,
Debby S.
Registration Chair
Treasurer report Frank Z

Hi everbody I am Frank an alcoholic,Treasurer report for this month, its been slow month not much to report. On June 17th Joe,Pat and myself met at my house to finalize the budget.Joe will be submitting to Joey H and Steve G for approvals.I sent the church a check for $330 for rent,I paid for the entire year.I f there are any committees who need a check for supplies please let me know after the meeting. Our checking acct balance is $4660.35 and it is balanced. Chair-Joe M-

45th Convention Chair Report June 1, 2008

Good Afternoon ;

I’m a Alcoholic, my name is Joe, Area 45’s, 45th Convention Chair.

We were lucky in catching an error in the new computer generated bill from Word Cassettes and received those
monies back. This of course was credited to the 44th Convention.

On May 18th I attended the Area 45 Assembly in Williamstown at the Pffiefer Center.

I met with Mr. Will King of the Crown Plaza Hotel and talked about food prices and rooms.
In one case we will try a served Dinner on Friday night. This is will save $10.00 per person. Buffets cost more
because there is normally three entrees, and the price is based on the highest priced entrée.
I will be talking to Mr. King again about having items like oatmeal served at breakfast and salads served during lunch.

I met with our Co-chair and treasurer twice to work on the budget. While we had hoped to put this issue to
bed early this year, it does not appear to be the case.
With rising costs on everything from travel to food it is going to be a little more complicated to reach a balanced budget this year, but I am confident we will accomplish that..
Hotel costs for food are 10% and above what they were last year. Rooms are up 4% which also increases the 8% occupancy tax.
We need to keep in mind that we are being charged $22.50 per person for the refreshment stations and that we
have to pay $31,000.00 dollars between food and the refreshments.
The two biggest income producers are,
1. To bring as many people as we can into our convention. (our Registration Fee)
2. A huge Saturday night Banquet is what we need to push us over that $31,000.00 dollar hurdle. Sounds easy, try setting up the Banquet on a $650.00 dollar expense account, while thinking about the plate per-person cost.
We will keep working on the budget until we can hand in the most cost effective one.

I know that a lot of the committee chairs have found co-chairs and I will let them tell you about that. I want to thank those of you who sent your reports in to Kelly and myself before todays meeting. I want to remind the rest of you that it is imperative that you get your reports in to us by the Friday before each meeting.
I am required to report to the Area Chair before this meeting; I cannot do that unless I have your reports.
Fred E. our Delegate has a Friday night speaker and I won’t spoil his surprise.

Lastly I want to let everyone know that I’m here to help in any way that I can. At any time; you can call Pat or myself. Everyone is new to their jobs this year, and you aren’t expected to know everything. .
We all need to work together to pull this together.
I can be reached by phone at home or on my cell My email is easy it’s
fonzie1@verizon.net

I will be out of town starting Tuesday the 3rd until the 10th or so. I’m really looking forward to working with everyone this year.
May was a busy month. Last month I attended the May assembly in Williamstown. The Chair, Treasurer and I met on two Tuesday nights to work out the 45th budget. That went well. I’m certain you will hear a lot of those findings in the further reports.
I had an opportunity to do some preliminary research into the mementos as well as on the mugs and travel mugs. I’m very happy with what we’ve found. We have been able to reduce the cost of the memento this year and the best selection is a logo pen that comes in at around 22¢ to 23¢ each. We have a good shot at getting some excellent quality mugs at a nice price too. Obviously we’ll know more after the theme and logo have been chosen.
Our program chair has been in contact with me several times and I know has some exciting news of her own to share with you.
I do want every chair to know that I am at your disposal for any assistance that you may need, not only now, but throughout the entire year and with anything. So please don’t hesitate to contact me if there is any way at all that I can help out. My phone number and email are on the contact list.
Thanks & God bless,
Pat

iii.Program Chair-Joanne

We have selected our speakers ,thank you to the listening committee for your ears. The Grapevine director from GSO Andy T will be speaking on Friday night Thank you Fred ,the Staurday night speaker Karl M from Covina Ca and the Sunday speaker Sharon B from Los Angeles Ca God Bless you all JoJo p.s will be sending confirmation letters out this month for all 3 speakers

iv.Treasurer report Frank Z-

I received the check for $1594 from the taper due to an overcharging error, therefore Alice will be returning $1774.00 to the Area and that tha convention will ultimately be starting with the $5000 that is the seed money from 44th. Alice paid the church for May and I will be paying the church for the rest of the year and also if anyone has any outstanding receipts from the 44th Convention they have to turn them into me by June meeting and there is some money currently available if committees need some supplies or whatever..I received the check book and all cash boxes from Joe @ BBQ.Our balance in the checking acct is $5000 it looks like all checks are in. My plans as your treasurer this year is to get the credit card program up and running so people can use their debit card or credit card at the registration table.May 13th Pat Joe and myself met at Joe's house to start the budget, then we met again at Pats house on the 28th to finalize it.In closing I would like to thank Alice for her service as our past convention chair and thanks for letting me serve as your 45th convention treasurer.
