Convention Committee Chair’s report July 7th 2009
Let me once again thank you all for being here at this meeting and for all that you do in between the meetings. I am especially grateful to those of you who came out on the holiday weekend.

I will keep this short as I know everyone likely has somewhere they would like to go.

In last month’s report I mentioned that the individual budgets will be made available to each of the committee chairs. Those are ready and I will distribute them today and this month.

I just want to remind all committee chairs that the budget is very tight; therefore it’s real important that we all stay within our budgets. If there are areas where money can be saved, by all means let’s save it. We will really have to be vigilant about expenditures – not cheap, just attentive.

I contacted the Crowne Plaza Hotel and they will be getting back to me this week just to confirm the prices of the rooms per the contract and, equally important, the meal prices.

I’m going to give my phone number out now: 609-892-8461. Everyone, any time you have a question or suggestion or want to make me aware of something, please don’t hesitate to call. I also usually respond quickly to text messages to the same number and to email at chair@snjaaconvention.org.

Lastly I want to thank everyone who emailed your reports to me and to, our secretary, Maryann. That really does help to keep me informed as to how you’re doing – so thanks and keep doing that.

IX. Monthly Timetable

July Timetable:
• Approve budget – done
• Submit rough draft of flyer – done
• Logo finalized – one month behind – must be “purchasable” material
• Confirm hotel room prices – done
• Discuss mementos – JoAnn will present at next mtg. For sweatshirt (attendee needs to preregister to purchase shirt)

August Timetable includes:
• Program (speakers booked); workshop chairs selected; marathon mtg. Topics selected
• Banquet / Entertainment Chairs started planning – underway
• Public Info – discussed

X. Old Business

Wilson House, Pool Party Planning (sign-up sheet), Stepping Stones and Mid-Winter Party Date

Kim – Unity Pool Party on July 19th; need food, supplies, etc. (passed around list). Pool party includes spouses and children (need everything incl. paper/plastic supplies - “what you bring is what you eat”).

Stepping stones discussion tabled for now.

Touched lightly on Football Party – will be held
